Usage & Limits

Monitor your usage against plan limits

The Usage page shows how much of your plan's allocation you're using. Monitor usage to avoid hitting limits and plan for scaling.

Accessing Usage

  1. Go to Settings
  2. Click Usage (or find in Billing section)
  3. View current usage metrics

Usage Metrics

Conversations

What it measures: Number of chat sessions started

Reset: Monthly (based on billing cycle)

Display:

Conversations: 1,234 / 5,000 (25% used)

Messages

What it measures: Total messages exchanged (customer + AI)

Reset: Monthly

Notes:

  • Each customer message counts as 1
  • Each AI response counts as 1
  • System messages don't count

Storage

What it measures: Space used for documents and files

Reset: N/A (cumulative)

What counts:

  • Uploaded documents
  • Crawled website pages
  • File attachments

Team Members

What it measures: Number of user accounts

Reset: N/A (current count)

Display:

Team Members: 3 / 5 seats

API Calls

What it measures: External API requests (if using API)

Reset: Monthly

Understanding Limits

Soft vs Hard Limits

Soft limits:

  • Get warnings when approaching
  • May briefly exceed
  • Overage charges may apply

Hard limits:

  • Cannot exceed
  • Features disabled at limit
  • Must upgrade to continue

Usage Tracking

Current Period

View usage for the current billing period:

  • Period start and end dates
  • Current usage amounts
  • Percentage of limit used
  • Projected usage at period end

Historical Usage

View past periods:

  • Month-by-month breakdown
  • Trend analysis
  • Usage patterns

Usage Alerts

Get notified before hitting limits:

  1. Go to Settings > Notifications
  2. Enable usage alerts
  3. Set threshold (e.g., 80%)
  4. Get email when threshold reached

Managing Usage

Reduce Conversation Volume

If conversations are high:

  • Review if widget is on appropriate pages
  • Check for bot/crawler traffic
  • Implement rate limiting

Reduce Message Count

If messages are high:

  • Tune AI for more concise responses
  • Improve first-response accuracy
  • Add FAQs for common questions

Reduce Storage

If storage is full:

  • Delete old or unused documents
  • Archive historical content
  • Optimize file sizes before upload

Manage Team Members

If at seat limit:

  • Remove inactive users
  • Share accounts (if permitted)
  • Upgrade for more seats

Upgrading

When to Upgrade

Consider upgrading when:

  • Consistently hitting limits
  • Approaching limits mid-month
  • Need features from higher plans
  • Growing team needs more seats

How to Upgrade

  1. Go to Settings > Billing
  2. Click Upgrade Plan
  3. Select new plan
  4. Confirm and pay

Usage Reports

Download Usage Data

Export usage information:

  1. Go to Settings > Usage
  2. Click Export or Download
  3. Select date range
  4. Choose format (CSV, PDF)
  5. Download

Scheduled Reports

Get regular usage reports:

  1. Go to Settings > Notifications
  2. Enable usage reports
  3. Set frequency (weekly, monthly)
  4. Reports sent to your email

FAQ

Why is usage higher than expected?

Common reasons:

  • Bot traffic (implement domain restrictions)
  • Widget on high-traffic pages
  • Long conversations (multiple messages)
  • Testing and development

Does the preview count?

No, preview conversations don't count toward limits.

Do failed messages count?

No, only successful messages count.

When do limits reset?

On your billing cycle renewal date. Check billing settings for exact date.

Can I get more without upgrading?

Contact sales about:

  • Usage add-ons
  • Temporary limit increases
  • Custom plans

  • Higher or unlimited limits
  • Custom usage tracking
