Adding Documents

How to add and manage documents in your knowledge base

Documents are the foundation of your AI agent's knowledge. This guide covers how to add and manage documents in the unified Train page.

Adding a Document

  1. Navigate to Train in the sidebar
  2. Click the + Add Content button
  3. Select Document tab in the dialog
  4. Enter a title for your document
  5. Enter the content in the text area
  6. Optionally select a folder
  7. Click Save

Your document will be processed in the background. Processing typically takes a few seconds.

Document Fields

Title

The title helps you identify the document and appears in search results. Use descriptive titles that indicate the content.

Good titles:

  • "Return and Refund Policy"
  • "How to Reset Your Password"
  • "Shipping Rates and Delivery Times"

Poor titles:

  • "Policy"
  • "FAQ 1"
  • "Document"

Content

The content is what your AI learns from. Write in clear, natural language as if explaining to a customer.

Write content the way you'd want your AI to respond. If you use friendly language, your AI will too.

Folder

Optionally assign the document to one or more folders for organization. Folders can have visibility rules that limit which AI personas can access the content.

Content Best Practices

Be Clear and Concise

Write in short paragraphs and use bullet points for lists. Avoid jargon unless your customers expect it.

Include Common Variations

Customers ask questions in different ways. Include common phrasings:

## How do I cancel my subscription?

To cancel your subscription (also known as ending your plan or stopping your membership):

1. Go to Account Settings
2. Click "Subscription"
3. Select "Cancel Subscription"

Cover Edge Cases

Anticipate follow-up questions and include that information:

## Return Policy

You can return items within 30 days of purchase.

**Exceptions:**
- Sale items are final sale
- Personalized items cannot be returned
- Items must be unused with tags attached

Use Headings

Headings help the AI understand document structure and find relevant sections:

## Shipping

### Domestic Shipping
- Standard: 5-7 business days
- Express: 2-3 business days

### International Shipping
- Standard: 10-14 business days
- Express: 5-7 business days

Viewing Documents

Documents appear in the Documents tab on the Train page. You can also see them in the All tab mixed with other content types.

Each document row shows:

  • Name - The document title
  • Type - Document icon and content type badge
  • Folder - Which folder(s) it belongs to
  • Status - Active, Draft, or Processing
  • Retrievals - How often it's been used in responses
  • Last Updated - When it was last modified

Editing a Document

  1. Find the document in the list
  2. Click on the document row to open the edit dialog
  3. Make your changes
  4. Click Save Changes

The document will be re-processed with your changes.

Deleting a Document

  1. Find the document in the list
  2. Click the menu icon (three dots) on the row
  3. Select Delete
  4. Confirm deletion

Deleted documents cannot be recovered. Consider setting documents to "Draft" status instead if you might need them later.

Bulk Operations

Select multiple documents using the checkboxes, then use the actions dropdown:

  • Add to folder - Move selected to a specific folder
  • Remove from all folders - Remove folder assignments
  • Delete selected - Delete multiple documents at once

Document Status

Documents can have the following statuses:

StatusDescription
ActiveDocument is live and used for AI responses
DraftDocument is saved but not used for responses
ProcessingDocument is being indexed (usually a few seconds)

Toggle status using the switch in the document list or edit dialog.

Visibility Rules

You can limit which AI personas can access a document:

  1. Edit the document
  2. Toggle Limit Visibility on
  3. Select which personas or agent types can see this content
  4. Save changes

This is useful when you have different AI agents for different purposes (e.g., sales vs. support).

Testing Your Documents

After adding documents, test them using the inline search:

  1. Switch to the search panel on the Train page
  2. Type a question customers might ask
  3. Verify your document appears in results
  4. Check that it's ranked appropriately
